Broadcast Email Guidelines
NMU Alumni Relations (AR) provides a broadcast email service for campus departments and organizations and encourages them to share information about the university to build and enhance relationships with NMU alumni.
AR reviews, schedules and distributes all email to alumni to:
- Prevent overlap with other scheduled e-mails or distributed materials;
- Ensure that alumni are not receiving excessive amounts of e-mail communications;
- Certify compliance with applicable university, state, and federal rules and regulations;
- Adhere to NMU brand standards, formatting and to enhance effectiveness.
Request an email distribution by completing and submitting the Broadcast Email Request Form below to AR.
AR staff will do their best to meet requested distribution dates; however, resource limitations, the completeness of the request, the amount of revision necessary and the responsiveness of the email originator may affect fulfillment.
Following are a few things to keep in mind when creating your message:
- Messages should be clear, concise, and pertain only to university news, announcements, or events. The AR email platform cannot send attachments. For lengthy or detailed information, you should create and submit a link to a web page containing that file.
- Graphics or photos are strongly encouraged to increase open rates for your email. If you do not submit a graphic or photo, we may access NMU resources for something appropriate to include.
- The email originator must provide all photos or accompanying graphic art.
- AR reserves the right to approve, edit, or refuse submitted content.
Newsletters: NMU Marketing & Communications must review and approve newsletter content and format prior to distribution. E-newsletters will need to be accessed on a web page containing the file. A link to that web page will be included in the email sent to alumni.
Fundraising Initiatives: The NMU Foundation must review and approve any fundraising or other solicitation content. If your communication has not been approved, AR staff will coordinate with the NMU Foundation.
REQUESTS ARE TYPICALLY APPROVED AND COMPLETED IN 7-10 BUSINESS DAYS. DISTRIBUTION DATES MAY BE ADJUSTED TO PREVENT OVERLAP WITH OTHER SCHEDULED EMAILS OR DISTRIBUTED MATERIALS.
