The University has an obligation not to negligently hire.  Because applicants sometimes falsify their credentials and backgrounds, it is important to check references. Applicants sometimes interview well but have a record of not actually performing as well as they have led you to believe. Checking references is essential in making the best selection decision. Reference checks take far less time than the time it will take to deal with performance, attitude or behavior problems.

Below are recommendations in regard to reference checks:

  • If the task of conducting reference checks is delegated to committee members, the search committee chair will remain accountable.
  • Must contact at least two references (one reference should be the current supervisor since that person is in the best position to judge work habits and performance).
  • Honor all requests to refrain from checking references of current employers until a finalist is identified, therefore, not to jeopardize their current employment. Check the application to verify if an applicant indicated that their current employer can be contacted. If refusal, advise applicant that it limits the ability to fully evaluate them and they may not be given full consideration.
  • The person contacted should have firsthand knowledge of their work.
  • Use the same questions for each reference.
  • If a signed release is required by the reference, provide a copy of the last page of the application.
  • Information gathered through reference checks is confidential so only communicate the findings to those who have a business need to know.
  • If a reference on a candidate is problematic, you should check with other sources to confirm.  You want to ensure that one person is not purposely and perhaps falsely giving a poor reference.
  • Maintain all back-up related reference checks for five years from the applicants date of hire.

When conducting reference checks:

  • Document who contacted and relationship
  • Identify yourself and organization
  • Ask if the time is appropriate for the reference check
  • Provide the reference with a brief description of the duties
  • Make sure questions are job related
  • Thank them for their time
